Providing your USI to your Training Organisation
You need to give your USI to each training organisation you study with. You will normally do this when you enrol. Your training organisation needs your USI before they can issue your qualification or statement of attainment.
There are several ways you can provide your USI to a training organisation:
- enter it as part of your online enrolment
- email it
- give them a printout
- write it down with other enrolment details
Your training organisation will also need to verify that your USI is correct by using your:
- first name
- last name
- date of birth
You will need to login to your USI account in the USI Registry System to be able to email or print your USI.
Sharing your USI account and Transcript information
You can give permission to training organisations and some VET Related Bodies to view and/or update your details and view your USI Transcript. You cannot give permission to anyone else such as employers or industry bodies.
You can set this permission for a set period of time and you can remove it at any time.
Giving a training organisation permission to view your USI account and transcript is an easy way for you to share information with them and have prior learning recognised or credits transferred.
This might be useful when enrolling in a new course. To save you time filling in a new form you can simply give the training organisation permission to view your details.
When you give permission for a training organisation to view your USI account you can choose whether they can:
- view your personal and contact information
- update your personal and contact information (your name and date of birth can only be updated if you have provided your training organisation with an appropriate form of ID)
- view your transcript
If you find there is an error with your transcript, contact the training organisation who provided the training for assistance.
You can give permission by logging into your USI account in the USI Registry System, selecting 'Provide your USI’ and scrolling to the “Set up access to your USI / Permissions' option.

Creating your USI
For anyone to create a USI on your behalf they must seek your permission first. If your training organisation is creating a USI on your behalf they must give you a privacy notice explaining how your personal information will be used.
If your training organisation created a USI on your behalf and did not ask your permission, please contact your training organisation. If you want to report them to the Office of the Student Identifiers Registrar, after speaking to them, please phone 1300 857 536 or email email@example.com.
Looking up your USI
Training organisations require your permission to look up your USI unless you have already given them permission to view your USI account. When they look up your USI, you will receive an automated email or SMS/text message that ‘Your USI was located’.
Verifying your USI
Training organisations do not require your permission to verify that your USI is correct because it is a requirement under the Student Identifiers Act 2014.
Viewing your USI Transcript
Training organisations require your permission to view your transcript. When you give permission to your training organisation to view your transcript, they will see all of your training including training undertaken with other training organisations.
Updating your USI Transcript
Training organisations do not require your permission to use the USI Transcript Update Tool to update your training records because they can only update the training delivered by them.
Training organisations sharing your USI
Training organisations require your permission to share your USI with another training organisation.
