When it comes to your personal information and privacy, we commit to:

  • being transparent with how we collect, use and disclose personal information
  • keeping ourselves accountable
  • retaining accuracy, confidence and security
  • maintaining and respecting all personal information provided to us
  • acting ethically and in your best interests.

Privacy

Privacy, by design, is embedded in our business practices and the architecture of our systems.

Our business processes and system initiatives, revisions, or upgrades will be consistent and compliant with mandatory requirements, including the Australian Privacy Principles and associated policies.

Third party entities authorised under our legislative framework must meet our privacy requirements when collecting and using Unique Student Identifiers (USIs).

We’re transparent and visible

We:

  • provide you with reasonable notice of information, policies and practices for collecting, using, disclosing, retaining and disposing of personal information
  • provide our associated entities with publish privacy notices clearly informing individuals about the purposes and scope of information, per our legislative framework.

We keep ourselves accountable

We:

  • maintain a compliance program of regular audits, reviews and assessments of access (by our staff and other authorised entities) of our operations and systems
  • monitor and record compliance efforts, privacy infringements and breaches.

We show care and diligence

We:

  • handle any requests or complaints with care and diligence
  • appropriately destroy personal information in accordance with our legislative framework and any Australian Government retention requirements
  • keep personal information to protect it from misuse, interference, loss, unauthorised access, modification or disclosure and always in accordance with mandatory requirements.

We respect your personal information

We:

  • respect the privacy and rights of everyone, in all aspects of business
  • treat all personal and sensitive data as confidential
  • adequately inform you about the processing of your personal data, rights and access to that data.

We’re ethical 

We’ll always act with integrity in:

  • dealing with personal and sensitive information and data that’s collected, used or disclosed in the assignment and verification of USIs or as a result of our Transcript Service
  • collecting, using, disclosing and retaining only the minimum amount of information about individuals as necessary for the specified purpose.

Your personal information

The information you provide through the USI application process:

  • is collected by us
  • may be disclosed to external organisations, departments, regulators and other persons where it’s reasonably necessary for the purposes of performing functions or exercising powers
  • won’t be disclosed without your consent unless authorised or required by, or under, law.
