Connecting to the USI Registry System

Learn about what is required for your organisation to connect to the USI Registry System and the functions available.

There are 2 ways to connect, either via the:

  1. Organisation Portal (recommended for managing small numbers of students). To log in you will need a Digital ID (e.g. myID) and RAM. 
  2. Web Services integration of Student Management System (SMS) (recommended for managing large numbers of students). This requires Machine to Machine (M2M) authentication.

How to connect

There are a few simple steps to take before you can connect to the USI Registry System.

  1. Make sure your organisation is registered with Training.gov.au (TGA) or Tertiary Education Quality Standards Agency (TEQSA) before your proceed.
  2. Set up your myID.
  3. Organisation's Principal Authority claims ABN in Relationship Authorisation Manager (RAM). Find out more on getting started with RAM.
  4. Decide how you will connect to the USI Registry System: 
    1. via the Organisation Portal only

      OR 

    2. using a Student Management System (SMS) developed in-house or by a 3rd party software developer. (Select a direct connection using Web Services in the System Access Request to allow your software to interact with the USI Registry System.)
  5. Complete a System Access Request.
  6. You will be advised of the outcome by email.
     

In addition to the 6 steps above for VET or Higher Education providers, VAB or VRB organisations must provide in the System Access Request:

  1. Confirmation that they meet the definition of a VRB/VAB.
  2. A detailed business case explaining why they require access to the USI Registry System.

VAB and VRB organisations will only be granted access to the USI Registry System for a maximum of 12 months. To renew access, VAB and VRB organisations need to complete a new System Access Request form every year.

Who needs to apply?

Entities listed under Section 14 of the Student Identifiers Act 2014 must submit a System Access Request to:

  • set up initial access to the USI Organisation Portal
  • enable Web Services for SMS integration.
